IFPA Byelaws

 

Definitions contained in the Byelaws have the same meaning as definitions given in the Memorandum and Articles of Association of the International Federation of Professional Aromatherapists.

1. Categories of membership

 

 

 

1.1  Voting Members:

 

 

 

1.1.1  Full Member: Any individual who has satisfactorily completed training in aromatherapy on a course registered with the Federation, or training consistent with the standards set by the Federation. They may use the letters MIFPA.

Full Members’ names will appear on the members’ register of the Federation and they are entitled to vote at general meetings of the Federation.

For graduates of non-registered or non-compatible courses an assessment is required, after which additional training may be recommended.

1.1.2  International Member: Awarded to those who reside outside the United Kingdom and who have satisfactorily completed training in aromatherapy on a course registered with the Federation, or training consistent with the standards set by the Federation. The names of International Members will appear on the members' register of the Federation and they are entitled to vote at general meetings of the Federation.

1.2  Associates, Students and others

 

 

 

1.2.1  Associate: Those individuals who practice aromatherapy, having completed a course of study not registered with the Federation, and who are completing the additional training necessary for full membership. Such additional training to be completed within two years of commencement as an Associate of the Federation. The names of Associates will not appear on the members’ register of the Federation and they are not entitled to vote at general meetings of the Federation.

1.2.2  Student: Any person currently taking an aromatherapy training course registered by the Federation. Such training should be completed within three years of commencement as a Student of the Federation, although the Council shall have absolute discretion to extend this period on a case by case basis. The names of Students will not appear on the members’ register of the Federation and they are not entitled to vote at general meetings of the Federation.

1.2.3  Friends: Any member of the public who has an interest in the work of the Federation in particular and in aromatherapy in general. The names of Friends will not appear on the members’ register of the Federation and they are not entitled to vote at general meetings of the Federation.

1.2.4 The Council grants the following categories at its discretion on the basis of individual merit:

Fellow: Conferred on individuals in recognition of their exceptional work in the field of holistic clinical aromatherapy. Only Fellows who are also Full Members of the Federation are entitled to vote at general meetings of the Federation. Fellows may use the letters FIFPA. The Council shall reserve the right to withdraw the Fellowship under exceptional circumstances.

Honorary: Conferred on individuals distinguished in their own field who have demonstrated support for the Federation and its principles, and for aromatherapy in general. The Council shall reserve the right to withdraw Honorary Membership under exceptional circumstances.

1.2.5  Affiliated Organisation: The Council may extend an invitation to apply to aromatherapy organisations, both national and international, that share the Federation’s approach to the profession of aromatherapy.

2. The Council

 

 

 

 

2.1  The Council shall consist of 15 Council Members elected by the vote of the Full Members and the International Members.

2.2  The Council will be made up of individuals holding the following roles:

Government Affairs and Regulation

3. Code of Practice and Code of Conduct

 

 

 

 

3.1  The Council shall determine a Code of Practice and a Code of Conduct, which shall be binding on all members.

The Council may amend the Code of Practice and a Code of Conduct from time to time as it deems appropriate.

4. The Disciplinary Process

 

 

 

 

4.1  The Council shall determine an investigation and disciplinary procedure, binding on all members, to be applied in the event of a complaint being received about a member or an issue of concern about the conduct of a member coming to the attention of the Council or its officers.

The Council may amend the investigation and disciplinary procedure from time to time as it deems appropriate.

5. Membership termination

 

 

 

 

5.1  Termination of membership shall arise under the following conditions:

 

 

5.1.1  Upon receipt by the Federation of the written notice of withdrawal from membership. In such instances the resigning member shall be asked to sign a declaration stating that they undertake to cease using or referring to the name of the Federation in any of their professional or promotional documentation, and to immediately return to the Federation their invalid Certificate of Membership if they have not already done so.

5.1.2  If the member be in default of payment of the annual membership fee and the procedure laid down in Article 16.2 is followed. The member may be asked to sign and return a declaration stating their intent to withdraw from membership and in addition to cease using or referring to the name of the Federation in any of their professional or promotional documentation, and to immediately return to the Federation their invalid Certificate of Membership.

5.1.3  As a consequence of being removed from membership of the Federation as a result of the operation of the Federation’s investigation and disciplinary procedure.
 

 

5.2  Membership of the Federation may also be removed on health grounds as a result of the operation of a procedure determined by the Council, and which Council may amend from time to time as it deems appropriate.

5.3  In the event that a member is patently a danger to others, Council will notify the member of an interim suspension from membership of the Federation pending application of the Federation’s investigation and disciplinary procedure.

5.4  An application for membership following a removal from membership will be assessed with reference to Article 16.2(c) and according to a procedure determined by the Council, which the Council may amend from time to time as it deems appropriate.

6. Regional Groups

 

 

 

 

6.1 Regional members shall have the right to establish a Regional Group of the Federation providing they can demonstrate that they can be self-supporting. Applications must be made in writing to the Regional Groups Chair.

6.2 An appropriate secretary and treasurer must be appointed so that initial start-up funding can be made available to the Regional Group.

6.3 All Regional Groups must keep adequate records of their activities and forward an annual report to the Regional Groups Chair thirty (30) days prior to the AGM of the Federation.

6.4 The aims of the Regional Group must be those of the Federation.

6.5 The objectives of the regional group shall be:

 

 

i) to stimulate the development of aromatherapy in a given area or country
ii) to recruit members
iii) to disseminate information on aromatherapy
iv) to exchange knowledge and techniques
v) to promote lectures, seminars and continuing professional development
vi) to liase with other health care professionals
vii) to support members
viii) to promote research
ix) to fund raise
x) To initiate local patient care schemes

7. International Regional Groups

 

 

 

 

In countries where there is a large membership, members may apply to establish their own International Regional Group. Procedures, aims and objectives of overseas groups apply, as in section 6 above. International Regional Groups will be expected to conform to the Federation's constitution, Code of Conduct and Code of Practice. The International Regional Group shall annually provide a report and accounts to the Federation's International Liaison Chair thirty (30) days prior to the Federation's AGM.
